How to create patient workflows with assigned tasks
A patient workflow in MediSprout is a sequence of tasks assigned to a patient — and, when needed, to your staff — that standardizes care steps such as intake forms, pre-visit questionnaires, lab work reminders, and follow-up surveys. Workflows reduce administrative back-and-forth and make sure nothing slips between visits.
Who can create and assign workflows
Administrators, providers, and schedulers can create, edit, and assign workflows. Billers and patients can view the workflows that involve them but cannot create new ones. Owners have all permissions.
How to create a new patient workflow
- From the MediSprout main menu, select Patients, then open the patient you want to assign a workflow to.
- Select the Workflows tab on the patient's profile, then select New workflow.
- Enter a workflow name and a short description so your team knows what the workflow covers.
- Select Add task for each step. For every task, fill in the task name, the owner (patient, provider, scheduler, biller, or admin), a due date or relative timing (for example, “2 days before the visit”), instructions, and any attachments such as a PDF form.
- Drag tasks to reorder them. The order shown here is the order in which tasks are surfaced to the assignee.
- Select Save and assign to make the workflow active. Notifications are sent to each task owner automatically.
Tracking task completion
As each task is completed — by the patient through their app, or by a staff member inside MediSprout — it is marked complete with a timestamp. Open the workflow from the patient's Workflows tab to see overall progress, who completed what, and any open items.
Edit, pause, or cancel a workflow
From the patient's workflow view, select Edit to change tasks or due dates, Pause to temporarily stop reminders, or Cancel to end the workflow. Cancelled workflows are kept in the patient's history for your records.
