Step-by-step guide to setting up, creating, and using a superbill
Welcome to your step-by-step guide to setting up, creating, and scheduling a visit using a superbill.

Step 1: Setting up NPI and TIN
It’s essential that insurance providers can correctly identify your practice. Here’s how to set up your national provider identifier (NPI) and tax identification number (TIN).
- Sign in to your MediSprout account.
- From the main menu, select Organization settings.
- From the drop-down menu, select Organizational information.
- In the field provided, enter your NPI Type 2 and select Validate.
- When validation is successful, select Save.
Note: A Type 2 NPI is assigned to healthcare a organization such as a group practice, a hospital and a clinic. If you are part of a group practice or organization, you must enter the Type 2 NPI.
- Next, in the field provided, enter your TIN.
- Select Save
Your NPI and TIN are now saved in the MediSprout platform. They will automatically be entered into all superbills you create.
Step 2: Requesting patient insurance and address information
Patient insurance and address information are required in a superbill. Here’s how to request these important details from your patient. You can assign these tasks individually or integrate them into a workflow with other tasks. Unless the information changes, you patient will only need to enter this information once.
Assign the task
- From the MediSprout main menu, select Patients.
- From your patient list, select the patient from whom you need insurance and address information.
- In the horizontal menu below patient details, select TASKS.
- Select the Assign task button.
- An ASSIGN TASKS popup module will appear. Select Documents & other tasks.
- From the list of tasks, check the boxes for Share driver’s license and Share insurance card.
- At the bottom of the module, select the Assign tasks button.
Workflow option
You can also trigger requests for insurance and address details as part of a patient’s onboarding workflow or a workflow assigned before your patient’s first visit.
Step 3: Adding and managing patient insurance details
After your patient completes tasks for providing insurance and address information, you must enter and verify the details to ensure that your superbill is accurate.
Accessing your patient’s insurance details
- From the MediSprout main menu, select Patients.
- Select the patient to whom you assigned the tasks.
- In the horizontal menu below patient details, select INSURANCE.
Adding insurance information
- Select the insurance card uploaded by your patient.
- In the fields displayed, enter or verify the required information. (Note: Some fields will be prepopulated. Edit any field.)
- Select Save to store insurance details.
Insurance and address details will now be automatically included in all superbills generated for this patient.
Step 4: Adding and managing diagnoses
Accurate diagnosis information is required for superbills, insurance processing, and reimbursement. Here’s how to add, edit, and manage patient diagnoses within the MediSprout platform.
- From the MediSprout main menu, select Patients.
- Select the patient for whom you want to add, edit, or manage a diagnosis.
- In the horizontal menu below patient details, select DIAGNOSES.
- Select any diagnosis displayed to edit or remove.
- If there are no diagnoses for this patient, select Add diagnosis to enter one.
- In the popup module, enter a date and diagnosis code in the fields provided and then select Save.
New or updated diagnoses will now be available for selection when generating a superbill for a patient.
Step 5: Scheduling a visit integrating a superbill
Patient visits can be scheduled using superbill functionality in the MediSprout platform to streamline and or even automate superbill generation. Here’s how to check that correct billing details and AMA CPT codes are in place to ensure that integrating a superbill while scheduling a visit works smoothly.
(Note: If the therapist in the visit does not have a subscription for AMA CPT Codes from the AMA, this feature will be disabled. For information about AMA CPT codes or how to subscribe to AMA CPT codes, please see this helpful Knowledge Base article.)
Check payment method:
- From the MediSprout main menu, select Subscription.
- From the drop-down menu, select Billing details.
- Select Payment method and verify that the payment method is set. Double check that Bill this card is selected on the payment method of choice.
Check CPT codes:
- From the main menu, select Subscription.
- From the drop-down menu, select AMA CPT codes.
- Double check that the therapist in the visit has a subscription to AMA CPT codes.
Schedule the visit:
- From the main menu, select Visits.
- From the drop-down menu, select Schedule a new visit.
- Select the type of visit, video visit or in-person visit, then complete the remaining fields. including AUTOMATION if you want MediSprout to generate an automatic superbill when the visit is complete.
